Privacy Policy

Last Updated: January 15, 2025

At NovaLink Evolve, we take your privacy seriously. This policy explains how we collect, use, and protect your personal information when you interact with our bug tracking and reporting services. We're committed to transparency and giving you control over your data.

Who We Are

NovaLink Evolve operates as an IT service provider based in Thailand, specializing in bug tracking and reporting solutions. Our office is located at 707 Soi Thep Prasat, Ban Khot, Chon Buri District, Chon Buri 20000, Thailand. When we say "we," "us," or "our" in this document, we're referring to NovaLink Evolve.

This privacy policy applies to all services we provide through novalinkevolve.com and any related platforms or tools we offer to clients.

Information We Collect

We collect different types of information depending on how you use our services. Here's what that looks like in practice:

Information You Give Us Directly

  • Contact details when you reach out or sign up (name, email address, phone number, company name)
  • Account credentials and profile information for our bug tracking platform
  • Bug reports and technical documentation you submit through our system
  • Communication records when you contact our support team
  • Payment information when you subscribe to our services

Information Collected Automatically

  • Technical data about your device and browser (IP address, operating system, browser type)
  • Usage patterns within our platform (pages visited, features used, time spent)
  • Log files that record system activity and error reports
  • Cookies and similar tracking technologies (more on this below)

Information From Third Parties

Sometimes we receive information about you from other sources, like payment processors or authentication services you use to access our platform. We only work with third parties who have proper authorization to share this data.

How We Use Your Information

We don't collect data just for the sake of it. Everything we gather serves specific purposes related to providing and improving our services. Here's how we put your information to work:

  • Delivering our bug tracking services and maintaining your account
  • Processing your bug reports and coordinating with development teams
  • Communicating with you about service updates, technical issues, or support requests
  • Analyzing usage patterns to identify ways we can make the platform better
  • Detecting and preventing security threats or fraudulent activity
  • Meeting legal obligations under Thailand's Personal Data Protection Act and other applicable laws
  • Processing payments and managing billing for our services

Legal Basis for Processing (Thailand PDPA Compliance):

We process your personal data based on: (1) your consent when you sign up for our services, (2) contractual necessity to deliver the services you've requested, (3) legitimate interests in improving our platform and protecting our systems, and (4) legal obligations we must fulfill as a business operating in Thailand.

When We Share Your Data

We're not in the business of selling your information. But running a modern IT service means working with other companies. Here's when your data might be shared:

Service Providers

We work with trusted companies that help us operate our platform—things like cloud hosting providers, payment processors, and email services. These partners can only use your data to provide the specific services we've hired them for.

Your Development Team

When you submit bug reports through our system, we share that information with the development teams you've designated. This is the whole point of our service, and you control which teams receive your reports.

Legal Requirements

We may disclose your information if required by Thailand law, court orders, or government requests. We'll notify you about such requests unless legally prohibited from doing so.

Business Transfers

If NovaLink Evolve is acquired or merged with another company, your information may be transferred as part of that transaction. We'll notify you before your data becomes subject to a different privacy policy.

Cookies and Tracking

Like most websites, we use cookies and similar technologies. These are small files stored on your device that help us remember your preferences and understand how people use our platform.

Cookie Type Purpose Duration
Essential Cookies Required for login, security, and basic platform functionality Session or up to 1 year
Performance Cookies Help us understand how users interact with our platform so we can improve it Up to 2 years
Preference Cookies Remember your settings and customization choices Up to 1 year

You can control cookies through your browser settings. But keep in mind that disabling certain cookies may affect how well our platform works for you.

How We Protect Your Data

Security isn't just a checkbox for us—it's central to what we do. We've implemented multiple layers of protection:

  • All data transmission uses industry-standard TLS encryption
  • Sensitive information is encrypted at rest in our databases
  • Regular security audits and vulnerability assessments
  • Restricted access to personal data on a need-to-know basis
  • Multi-factor authentication for administrative access
  • Regular backups stored in secure, geographically distributed locations
  • Incident response procedures in case of a data breach

No system is completely immune to attacks, but we take our security responsibilities seriously and continuously work to strengthen our defenses.

How Long We Keep Your Data

We don't keep your information forever. Here's our approach to data retention:

  • Active account data is retained as long as your account remains open
  • Bug reports and technical documentation are kept for the duration of your service plus 90 days after account closure
  • Communication records are retained for up to 3 years for support and quality purposes
  • Financial records are kept for 7 years to comply with Thailand accounting and tax laws
  • System logs and usage data are typically retained for 12 months

After these periods, we securely delete or anonymize your information so it can no longer identify you personally.

Your Rights and Choices

Under Thailand's Personal Data Protection Act (PDPA), you have several rights regarding your personal data. We're committed to honoring these rights and making them easy to exercise.

What You Can Do

  • Access: Request a copy of the personal data we hold about you
  • Correction: Ask us to fix inaccurate or incomplete information
  • Deletion: Request deletion of your data (with some exceptions for legal obligations)
  • Restriction: Ask us to limit how we process your data in certain circumstances
  • Portability: Receive your data in a structured, commonly used format
  • Objection: Object to processing based on legitimate interests
  • Withdraw Consent: Remove consent you've previously given (this won't affect past processing)

How to Exercise Your Rights

To make any of these requests, email us at help@novalinkevolve.com with "Privacy Request" in the subject line. We'll respond within 30 days as required by Thailand law. We may need to verify your identity before processing certain requests.

Important Note: Some rights have limitations. For example, we can't delete data we're legally required to keep, or information necessary to defend against legal claims. We'll always explain our reasoning if we can't fully honor a request.

International Data Transfers

Our primary servers are located in Thailand, but some of our service providers operate in other countries. This means your data might be transferred outside Thailand.

When we transfer data internationally, we ensure appropriate safeguards are in place through:

  • Standard contractual clauses approved by relevant data protection authorities
  • Transfers to countries with adequate data protection laws as recognized by Thailand
  • Your explicit consent for specific transfers when required

We carefully vet all international service providers to ensure they maintain privacy standards comparable to what's required in Thailand.

Children's Privacy

Our services are designed for businesses and professional use. We don't knowingly collect information from anyone under 20 years old (the age of majority in Thailand). If you're a parent or guardian and believe your child has provided us with personal information, please contact us so we can delete it.

Changes to This Policy

Technology changes. Laws change. Our services evolve. So this privacy policy might need updates from time to time.

When we make significant changes, we'll notify you by email (if you have an account) or through a prominent notice on our website at least 30 days before the changes take effect. The "Last Updated" date at the top of this policy will always reflect when the most recent changes were made.

Continued use of our services after changes become effective means you accept the updated policy.

Legal Compliance and Jurisdiction

NovaLink Evolve operates under the laws of Thailand, and this privacy policy is governed by:

  • Thailand's Personal Data Protection Act B.E. 2562 (2019)
  • Computer Crime Act B.E. 2550 (2007) and subsequent amendments
  • Electronic Transactions Act B.E. 2544 (2001)
